What is a CRM?

A CRM Short for customer relationship management. In plain words: the place where your customers, their appointments and what you talked about with each one are kept. is where your customers, their appointments and every conversation with them are kept. The letters stand for customer relationship management.

Today that information lives in a notebook, in your phone and in your head. In a CRM each customer has one record, and anyone on your team can open it and see what was agreed.

Buy a program

It comes already made. You set it up, you move your customers in, and you bend the way you work to fit what the program allows.

Programs you may know

  • monday.com
  • HubSpot
  • Salesforce
  • Zoho
  • Pipedrive
  • Jobber
  • Housecall Pro
  • Contractor+

All in one tool

Customers, messages, appointments, estimates, invoices, tasks and reports live in the same place, instead of spread across five different programs.

Have it built around how you work

We look at how you work today and build the system around that. Then we teach your team to use it.

Two ways to build it

  • With GoHighLevel

Up and running sooner, because it starts from parts that are already proven. A good fit when your day is messages, appointments and follow-up.

  • Custom, from scratch

For when the way you work does not fit any ready-made tool. We build only what you need, one piece at a time.

Appointment scheduling

You are on a job with your hands full. This is what happens to the message that just came in.

A house painter rolls white paint onto a wall with the tray in his other hand. In the foreground, on top of a paint can, his phone has its screen lit.

Illustration: an inbox and a weekly calendar joined by two wires. A message becomes an appointment, and a reminder travels back to the customer.

  1. 1

    A message comes in

From your website, or from the channels we connect for you. They all land in the same inbox, so nothing gets lost between apps.

  2. 2

    The first reply goes out

A greeting with your business name and the link to pick a day and time. The person is not left waiting until you finish the job.

  3. 3

    The appointment books itself

The customer picks from the times you left open. It shows up on your calendar and on their record.

  4. 4

The reminder goes out on time

Before the appointment, the system reminds the customer of the day and time. You choose how far ahead.

Examples. We write each message with you, in your words.Ask for a quote

Workflow automation

Each task is a card with someone in charge. Your team sees what is theirs, you see where everything stands, and some steps send a notice on their own. An automation is a step the system does for you every time something happens. Example: when an appointment is booked, the reminder gets scheduled.

Illustration: a job board with four columns. A job card moves from New to Done, and notices appear along the way: reminder scheduled, team notified, review requested.

The same board works for running the service itself: who goes, to which address and what is still left to do.

What the system does when something happens

  • The owner of a hair salon looks at her phone, with a notebook open on the front counter.

Whenan invoice goes past its due date

the systemreminds the customer and lets you know.

  • A technician checks his phone beside his work van, with the tools inside.

    Whena new job comes in

the systemlets the person in charge know.

  • A contractor measures a kitchen countertop with a tape measure, his clipboard beside him.

    Whenan estimate gets no answer

the systemsends a follow-up and leaves you a task to call.

  • A house cleaner gives a last wipe to the counter of a spotless kitchen.

    Whena job is marked done

the systemasks the customer for a review.

Examples. Which steps send a message, and when, we decide with you.

A carpenter looks at a tablet, leaning on his workbench at the end of the day.

Where AI fits

The system also includes AI for repetitive work. Where it makes sense depends on your business, so we go over it with you in the consultation and leave the promises out of this page.

Business reports

The system already holds your jobs, your invoices and your customers, so the numbers add themselves up. Open the screen and see your week, what is still owed to you, where people find you and how your team is doing.

Illustration: the system’s reports screen with four example panels. The week’s jobs as bars per day, three invoices waiting to be paid with their age, where customers come from (Google, word of mouth, Facebook and Instagram) and how many jobs each person on the team has.

The numbers on this screen are examples. Yours come from what already happens in your system; which reports you see, we decide with you.

Questions about a CRM

If yours is not here, ask it on the call.

What is a CRM for a local business?

A CRM is the place where a business keeps its customers, their appointments and every conversation with them. For a local business that means one record per customer, where today there is a notebook, a phone and someone’s memory. Growth System is the CRM that Zeruz sets up around the way your business already works.

How much does a custom CRM cost?

A custom CRM from Zeruz is quoted for each business, so there is no list price. The quote depends on the pieces you need, how many people will use it, what it has to connect to and what has to be moved in. Training your team is always included, and the consultation where we work it out is free.

Can I keep using what I already have?

Often, yes. In the consultation we look at what you use today, whether that is a calendar, a spreadsheet or a program, and tell you what stays, what gets connected and what the system would replace. Adapting the system to your business is part of the service.

Can I build a CRM in Excel?

Yes, a spreadsheet works as a customer list while the business is small. What a spreadsheet does not do is answer a message, book an appointment or send a reminder: someone still has to do those by hand. That is usually the point where owners ask us for a system.

Is a CRM hard to learn?

Not when it is set up around how you already work and someone teaches you. Training is included in Growth System: we teach the people who will use it, in English or Spanish, with their own real cases.

Which CRM is best for beginners?

The best CRM for a beginner is the one that fits how they already work and comes with someone to teach it. A program you buy arrives empty and you set it up yourself. With Growth System we set it up for you and train your team.

Can I send estimates and take payments from the system?

Yes. In Growth System you write the estimate, send it to the customer and, once they approve it, send the invoice and take the payment. Payments come in through a payment platform connected to your system, such as Stripe or PayPal, and every estimate, invoice and payment is saved on the customer’s record.

Does it connect with the tools I already use?

Yes. Growth System connects with Stripe, PayPal, QuickBooks, Gmail, Google Calendar and WhatsApp, and everything else connects through webhooks and an API, the two ways one program passes data to another. In the consultation we look at what you use today and what is worth connecting.

What can a local business automate?

The steps that repeat the same way every time: the first reply to a message, booking and confirming an appointment, the reminder before it, the follow-up on an estimate with no answer and the request for a review after a job. In the consultation we go through your week and see which ones apply to you.

Will AI replace CRM?

No. AI needs a place to read your customers, appointments and conversations from, and that place is the CRM. Growth System includes AI for repetitive work, and we decide with you where it makes sense in your business.
